Terms and Conditions

Please read these Terms and Conditions carefully before using our website or applying to the Island Internship program. They set out the agreement between you and Island Internship. By submitting an application, accepting a placement, or making a payment, you agree to be bound by these Terms. If you have questions, contact us at hello@islandinternship.com before proceeding.

Article 1 — Definitions

Article 2 — Who We Are

Island Internship is an internship placement and pre-departure support service that connects European university students with structured internship placements in Bali (Indonesia) and Sri Lanka, and provides logistical support to help students prepare for and settle into life abroad. Our role is that of an intermediary (bemiddelaar): we introduce students to independent host companies. We do not employ students, and we are not a party to the internship relationship between you and your host company.

Island Internship is operated as a sole proprietorship (eenmanszaak) by Kavin Kulatunga, registered in the Dutch Chamber of Commerce (Kamer van Koophandel, KvK). Our business details are:

Article 3 — Applicability

These Terms apply to all offers, communications, applications, and services between Island Internship and the Student. By using our website, applying, or accepting a placement, you accept these Terms. Any variation from these Terms is valid only if we have agreed it with you in writing. If any provision of these Terms is or becomes invalid, the remaining provisions stay in full force (see Article 20).

Article 4 — Our Services

Island Internship provides the following services:

The Full Support tier additionally includes: airport pickup, accommodation arrangement, scooter arrangement, a local SIM card on arrival, and orientation week coordination. The exact contents of each tier are set out at the time of application and confirmed in writing before payment is made.

We do not provide legal advice, immigration advice, medical advice, or financial advice. Any guidance we give on visas, entry requirements, accommodation, or insurance is provided in good faith as practical support — not as a regulated professional service.

Article 5 — Nature of Our Obligation (No Guaranteed Outcome)

Our obligation is an obligation of effort (inspanningsverplichting), not of result. We commit to making a genuine, professional effort to match you with a suitable host company, but we do not guarantee a specific company, supervisor, project scope, exact start date, internship allowance, or any particular outcome. Matching depends on host company availability, your field of study, timing, and other factors outside our control.

Applying to Island Internship is free and carries no obligation. The matching process begins after an initial call in which we discuss your field, timing, and preferences. We will present one or more placement options for you to review before any payment is due. No payment is due until you have reviewed a proposed placement and chosen to proceed. If we are unable to find a suitable match, we will tell you clearly.

If your university requires a specific internship agreement format, it is your responsibility to share this with us in advance so we can check whether the host company can meet your institution's requirements.

Article 6 — Student Responsibilities

As a participant in the Island Internship program, you are responsible for:

Article 7 — Visa and Entry Requirements

Visa and entry requirements depend on your nationality, destination country, host company setup, the duration of your stay, and current immigration regulations. These requirements can change at short notice and are ultimately determined by the authorities of the destination country, not by Island Internship.

We provide administrative guidance to help you navigate the visa process, in some cases through external partners, but we are not an immigration adviser. We do not make applications on your behalf, guarantee visa approval, or accept responsibility for visa delays, refusals, overstay fines, or changes to immigration policy that affect your travel plans. Final decisions on entry and stay rest with the immigration authorities of the destination country.

Article 8 — Accommodation

Where accommodation is arranged as part of the Full Support tier, it is confirmed before your departure. Island Internship assists in finding accommodation but is not the landlord. Rent, deposits, and any charges for damage are paid directly to the accommodation provider in-destination; we do not hold or manage your rental payments, and you are responsible for communication with the landlord. Housing arrangements are made in good faith based on availability and current vetting, and we cannot guarantee that a specific property will remain available for the full duration of your placement.

Article 9 — The Host Company

Internships arranged through Island Internship are unpaid educational placements. We do not guarantee employment, a paid role, or a job offer at the end of the placement.

The host company controls supervision, tasks, working hours, conditions, and any compensation. Host companies provide an official internship agreement, a named supervisor, and documentation aligned with standard Dutch university requirements. However, it is your responsibility to confirm with your study coordinator or faculty that the placement meets your specific program requirements, which vary between universities and degree programs.

We maintain relationships with our host companies and monitor placement quality. If you experience a significant problem with your host company during the placement — including misrepresentation of the role or absence of supervision — contact us immediately. We will work with you to resolve the situation, which may include facilitating a placement transfer where possible.

Article 10 — Program Fees and Payment

Program fees are confirmed in writing before payment is requested. Current fees are published on our Pricing page and may be updated from time to time. The fee applicable to your placement is the one confirmed at the time of your match, and payment is made by bank transfer to the account stated on your invoice, by the due date.

The program fee covers placement matching, internship documentation support, visa guidance, on-the-ground support, and the additional arrival services included in your selected tier. It does not cover flights, travel insurance, accommodation rent, scooter rental, visa application fees, personal living costs, or any costs payable to third parties.

Article 11 — Your Right of Withdrawal and Refunds

Your 14-day right of withdrawal. Because you enter into this agreement at a distance (online, by email, WhatsApp, or phone), you have a statutory right under Dutch and EU consumer law to withdraw within 14 days of confirming your placement and paying, without giving any reason. To withdraw, send us a clear statement of that decision within that period — by email to hello@islandinternship.com, by WhatsApp, or by using the standard EU model withdrawal form we provide with your placement agreement. Cancelling is as simple as signing up: you may use whichever channel you used to apply. We will refund everything you have paid, by the same payment method, within 14 days of receiving your notice.

Asking us to start within the 14 days. Placement timelines are often tight, so most students ask us to begin work — matching, host outreach, documentation — straight away, before the 14 days are up. If you ask us to start during this period, you expressly consent to us beginning early and you acknowledge that once the service has been fully performed you lose the right to withdraw. Here, "fully performed" means we have presented a placement that you have accepted. If you withdraw after we have started but before the service is fully performed, you may still do so; you will owe a proportionate amount for the work already carried out, which we deduct from your refund.

After the service is performed. Once you have been matched, shown the host company, and accepted the placement, the service is fully performed, the fee is earned in full, and — subject to your statutory rights above and the exception below — it is not refundable. Any deposit is non-refundable from the point it is paid, except where your right of withdrawal above still applies. The exact payment schedule and deposit amount for your placement are set out in the placement agreement you sign before paying.

If the host company cancels or materially changes your placement. If the host company cancels your placement before your start date through no fault of your own, we will make reasonable efforts to secure an alternative placement of comparable nature. If no alternative is secured within 30 days, your deposit is refunded. The same applies if the host company materially changes the role, duties, or location after you have signed: you may object in writing within 7 days of being notified, after which both parties negotiate in good faith for up to 14 days before the cancellation terms apply.

Outside your statutory right of withdrawal and the exception above, fees are not refunded if you decide not to commence the internship, withdraw after the service is fully performed, leave the internship early, are dissatisfied with the placement, or stop for personal reasons. Refund requests must be submitted in writing to hello@islandinternship.com.

Nothing in this Article removes any mandatory consumer rights you hold under Dutch law or under the law of your country of residence. Where your local law grants you stronger protection than the terms above, that protection takes precedence.

Article 12 — Suspension and Termination

We may suspend services if an invoice remains unpaid after its due date, until payment is received. We may terminate the Agreement with immediate effect if you provide false or misleading information, fail to pay, behave improperly toward our team or a host company, violate the laws of the destination country, or otherwise materially breach these Terms. Termination for these reasons does not entitle you to a refund, except where your statutory right of withdrawal under Article 11 still applies.

Article 13 — Limitation of Liability

Island Internship's role is limited to bemiddeling (intermediary services). To the fullest extent permitted by applicable law, our total liability in connection with the program is limited to the program fee you have paid. We are not liable for:

This limitation does not exclude or limit our liability for damage caused by intent or deliberate recklessness on our part, nor does it exclude any rights you hold under applicable consumer protection law.

Article 14 — Force Majeure

Island Internship is not liable for any failure or delay in performing its obligations caused by circumstances beyond its reasonable control, including natural disasters, extreme weather, pandemics, epidemics, war, civil unrest, strikes, government or immigration policy changes, travel advisories, or failures of technical infrastructure. Where a force majeure event prevents performance, our obligations are suspended for its duration; if it continues for a prolonged period, either party may end the Agreement, and any refund is determined in line with your statutory rights under Article 11.

Article 15 — Insurance

You are responsible for arranging your own adequate travel, health, and liability insurance for the full duration of your stay, covering at minimum medical care, emergency evacuation, and trip interruption. Island Internship does not provide insurance and is not responsible for costs arising from your failure to obtain suitable cover.

Article 16 — Privacy

We process your personal data in accordance with the EU General Data Protection Regulation (GDPR) and as set out in our Privacy Policy. We never sell your data, and we share it only to the extent needed to arrange your placement and stay (for example, with a prospective host company or accommodation provider).

Article 17 — Image and Marketing Consent

With your consent, we may use photos, videos, and testimonials that feature you to promote Island Internship — for example on our website and social media. We ask for this consent separately, and it is entirely voluntary. You may decline, or withdraw a consent you have given, at any time by contacting hello@islandinternship.com, after which we will stop using the relevant material in future promotion. Declining or withdrawing consent has no effect on your placement or your fee.

Article 18 — Intellectual Property

All materials we create and share with you — including guides, checklists, templates, and documentation — remain the intellectual property of Island Internship and are provided for your personal use in connection with your placement. You may not copy, distribute, publish, or use them commercially without our written permission.

Article 19 — Communication

Official communication takes place primarily by email and WhatsApp. You are responsible for checking these channels regularly and for keeping your contact details up to date, so that time-sensitive information about your application, placement, or travel reaches you.

Article 20 — Severability

If any provision of these Terms is found to be invalid or unenforceable, that provision is replaced, so far as possible, by a valid provision with the closest equivalent effect, and the remaining provisions continue in full force.

Article 21 — Changes to These Terms

We may update these Terms from time to time; the current version is always available on this page. If changes are material, we will notify enrolled students by email. The version that applies to your placement is the one in force when you entered into your Agreement. Continued use of our website or participation in the program after changes are posted constitutes acceptance of the updated Terms.

Article 22 — Governing Law and Disputes

These Terms are governed exclusively by the laws of the Netherlands. Any dispute that cannot be resolved through direct communication with us will be referred to the competent courts of the Netherlands, unless applicable consumer protection law in your country of residence requires otherwise. We encourage you to contact us before initiating any formal dispute — most issues are resolvable through direct conversation.

Article 23 — Acceptance and Contact

Submitting an application, digitally accepting a placement, signing the placement agreement, or using our services constitutes your acceptance of these Terms. If you have questions, please contact us:
